    customising OnTime dashboard

    hi all,

    i'm new to OnTime and would very much appreciate some feedback on how it is possible to report against defects by workflow step, i.e. how many defects are at a particular step in the workflow within a project. i've had a look about the app, admin guide, and user guide but i couldn't find anyway of customising the dashboard to view defects by workflow step (i'm under pressure to get this done asap so in my haste i could have missed it).

    Is there another way that people are using OnTime to sum the number of defects in this way for a particular project?

    Yes, it is possible to get defects by workflow step.  If you just want the list of defects by workflow step, you can just group by workflow step in the UI and print the Defects List report.  If you want count of defects by workflow step, you can create a new defects report, create a group and set its datafield to workflowstepid, then place a text box on the group footer and set its following properties:

    DistinctField: DefectId
    SummaryFunc: Count
    SummaryGroup: GroupHeader1
    SummaryRunning: Group
    SummaryType: SubTotal

    Hello Dan

    thanks for your reponse and help. I did give this a shot but unfortunately the report came back empty. The project I had selected when the report was run has approx 250 defects in it at this point.

    I've attached a screen of the new report criteria and the output. If you could give it a quick once over to check I've made no glaringly obvious mistakes it would be appreciated!

    I see from the screenshot that the report has 11 pages, is there any data on those pages?  What you probably want to do is make the Details section and the Group Header section not visible, and place the WorkflowStepName field on the group footer.

    Hi Dan,

    it's been a while! I've since tried your suggested changes and it does reduce the pagecount to 1. But presented on the page is

    Defect Found (only the first of 5 workflow steps)

    140 (the total number of defects within the project, which are at differing workflow steps)

    So, stating the obvious, it doesn't seem to be splitting down all the workflow steps correctly. I've tried a number of configs but can't seem to hit the correct one. Any further advice please?

    It sounds like it's not grouping properly, can you double-check your summary properties?  Would it be possible to show us some screenshots of what the report looks like in the designer? I want to get an idea of how it's set up.  You can either post them here or email them to support and tell them it's for me.  Thanks.

    For your GroupHeader1, make sure the DataField is set to WorkflowStepId (click on the GroupHeader1 heading to select it).  I was able to repro your scenario by leaving that property blank.  That property controls what field it will group by.

    That's great Dan, perfect. This report makes it much easier for us to see approx where the workload is by dept, and how the defects are being closed (Rejected, Fixed, Duplicate or Deferred (fixed next release) etc). Very useful for determining where things are going wrong. Your help is MUCH appreciated.

    So to see the count of defects by workflow status:

    1. You can create a new defects report, create a group and set its datafield to workflowstepid
    2. Place a text box on the group footer and set its following properties:
