Using Workflow Step Actions to change Notes or Resolution.

    Using Workflow Step Actions to change Notes or Resolution.
    Is there a way to add text to either Notes or Resolution in a Step Action in Workflow?  Both of the fields are listing, but what is entered in the 'Change Value To' box doesn't seem to save.  Also, if this does work, does it append or replace the text?

    Hello Chip,

    There is a way to add text to a large text field based on Workflow step, yet this feature only currently works within the OnTime web client.

    If you edit the 'Step Actions' of a workflow step from the Web client, and configure it to add text to a large text field, the change will occur when changing workflow step and replace any existing text from that field.

    Unfortunately this feature isn't currently available in the OnTime Windows application, yet a defect has been logged and is being reviewed by our development team. If you have any further suggestions regarding this or any issue, you can submit them through our Customer Portal.

    Thanks for that information Tom.

    Could you please clarify a couple of points.

    First, is it only the setup that is broken in the Windows version or the entire process?  In other words, can I set the workflow up in web and have it work in Windows?  (My team is not currently using the web version)

    Second, just to be 100% clear, the Action will replace, not append the text, right?  I'm double asking this (and yes, I even see that you wrote 'replace' in your reply, but you also wrote 'add' twice Wink) because I can't think of any possible way you would want the text in a Description, Notes, or Resolution replaced by a workflow step.  Appended, I would think, would be the way most people would want this to work.Confused

    Hello Chip,

    Workflows will work between both the Windows and the Web client, the only exception to this I can think of is this particular way in which large text fields are populated with data under the 'Step Actions' tab. So, yes, the Workflow can be configured in one client and used in another.

    Yes, the Step Actions will completely replace the text that exists in the field. I had thought to phrase that more clearly when I originally typed it- looks like I should have. :)

    I agree that it seems strange to replace the text entirely. The only occasions I've seen when other customers use this is when they have a custom large text field that needs to be poulated with instructions for every step of the workflow. The other built-in large text fields, such as Notes, Description, etc- those are usually used for the actual user to be stamping and editing, and are rarely needed to be appended(or replaced) by a workflow step.
