    Customer notifications on individual fields

    Heyas everyone,

Firstly I would like to say that I am new the forums and new to OnTime, so I apologize if my question is very newbie.

I have been over alot of the product and have customized a fair portion of the interfaces. However, I would like to setup notifications to go to customers only when certain fields have been modified.

My current setup is 2 large text fields, one called Internal Communication, and the other called Client Communications. Clients can only see the Client Communications field. It appears that if I setup notification for this Issue, and someone updates the Internal Communication field, it will send out this notification to the client. Having clients get notified when a field they can not see is updated is something I would like to avoid.

I would like to setup something where I can determine which fields trigger the notification.

Any advice or thoughts would be very appreciated.

    Thanks,

    Graham H

RE: Customer notifications on individual fields

You can setup email notification alerts for a specific field on a project as well as item level. Setting up alerts on a project level for a particular field will notify all of the users when a single item changes. The other way of creating alerts would be by each specific item that the users submit via customer portal. When editing a single item in OnTime, you will see that there is a tab called "Alerts". Under the alerts tab, you will be able to specify a proper trigger on a desired field in the application and assign the customer portal users email address to the alert. This will send an email notification to the assigned contact when a certain field is modified in your database.

RE: Customer notifications on individual fields
When I create an Alert on an Project for when a custom field is modifided, it appears to forget the field name upon saving. This in turn does not send out an email for when the even occurs.

This works correctly for Alerts on created items however.

To replicate in OnTime 2007 Beta

Create a new custom field for Issues
    Create a new Issue Alert
Setup the alert to respond to changes done to the custom field created
Once this alert is saved, go back to edit the alert
You will notice in the Triggers details tab, it has forgotten the custom field.

Is this a known issue or will this be resolved for the stable version?

RE: Customer notifications on individual fields

This is a known issue in the current release of OnTime 2007 RC1. This has been already resolved and will be addressed in our final release of OnTime 2007 which is scheduled to occur on February 20th.

    Hi Graham,

The field name not displaying on save is still in fact occurring but the alert should be getting triggered. I performed the steps mentioned in your post and got the alert. Are you still not getting the alert? The field name not displaying will be addressed in the next release.

    Thanks,

    Arash

Re: RE: Customer notifications on individual fields

    Hello,

I am trying to achieve the same with Internal and External communications. I have setup Alert and it e-mails OK. The problem is that URL is pointing to Web Client - and I want it to point only to Customer Portal (for this project only!) see:

You have received an OnTime Alert Notification.  Here are the notification details:

    Change Details:
      • Resolution changed from issue resolved replaced PVM

Re: RE: Customer notifications on individual fields

The Alerts feature in OnTime has been designed mainly to alert the actual user of OnTime and not the customer portal users. That is why the OnTime web client URL is being placed in the email notifications sent to the users. This has been submitted to our customer feedback section as a possible feature enhancement of OnTime in the near future.

    Thank you,
