    Import not mapping workflow steps

    Hello, is it possible to import defects from an earlier version of OnTime into 6.1 and preserve the workflow steps?

    When I export from the old db the export file DOES include the workflow step information (text value, not ID).

    The workflow steps are completely identical in both systems. Same text, same ID.

    Unfortunately the Field Mapping screen (during import) in 6.1 does not list workflow step in the destination column as a mappable field, but it does offer Workflow Step as a mappable field in the source column.

    Importing without a direct mapping for the workflow steps column imports defect fields correctly but the workflow steps are not assigned...

    Is it possible to import defects with intact workflow steps?

    We removed the workflow steps from the import because we now have workflow by project so it's possible to import the wrong worklow steps ... so, no, you can no longer import workflow steps.

    However, if you upgrade the database the workflow will still be entact.

    Using Axosoft 2008...  I am trying to import a csv file into OnTime and want to map a field to the workflow steps, which apparently is no longer supported but which we badly need!  However, we were willing to go in and manually update the workflow step after the import but the new tickets created by the import don't even have the workflow enabled in the field template.   Is  there a way to import tickets and at least ensure they use the field template that they are being imported into?

    Hello June,

    The field template that is used when editing an item is determined by either the Workflow step, or in your case, the template applied to the project.

    You could add the workflow field to the field template that's applied to the project your items are imported into. You can also use the workflow toolbar dropdown button to choose a workflow step- or better yet, you can select multiple items and use the Multi-edit toolbar button to change the workflow step of multiple items at once.

    I'm not sure if I should post a reply here or start a new thread but I'm having the same issue reported by June on 1/29/08.  I'm not sure I understand the solution posted by Tom.

    I'm evaluating OnTime 2008 version 8.1.3.7881.

    Just to reiterate, I'm trying to import a CSV file from another application but the workflow step is not available in the import fields.  Further, once I've done the import I'm not able to edit the workflow step of the imported items even though I'm logged in as Admin.

    It would be very time consuming to look at every item to manually reconcile the workflow step from my other application to OnTime.

    Hello Chris,

    You're correct, you cannot import the workflow steps into OnTime along with your items. Yet once the items are imported into a Project in OnTime, you should be able to change their workflow step(or give them one to begin with) by doing one of the following: \

    - First, make sure the workflow field is visible and editable in the field template used by the project. Then when editing an item in the edit form, you should be able to change the workflow step.

    - Select one item in the main grid, and use the 'Put selected item into workflow step' toolbar icon (located fifth from the left of the main grid toolbar) to change the item's workflow step.

    - Select multiple items in the grid, and use the Multi-Edit toolbar button to change their workflow steps.

    If you find that there are no workflow steps listed when doing any of these 3 methods, that means that you don't have a workflow selected for the Project. Edit the project you're working within, and under "Workflow Settings" make sure you have a workflow selected for the project.

    If I understand then I have to manually reconcile the workflow steps for the hundreds of items I want to import?  That seems a little tedious but if it's the only way then so be it.  Is there anything in the works to actually allow importing workflow steps?  If so I might just wait and re-evaluate OnTime when its available.

    Hello Chris,

    Like I mentioned, you can multi-select groups of those items and multi-edit them all at once in order to change their workflow step. Also, by simply moving items from one project to another you can have them put into a specific workflow step. When editing a project in OnTime you'll notice under "Workflow Settings>[ITEM TYPE]" you can specific a workflow step for 'Items moved into this project'. Any item moved into this project(even by dragging&dropping) will be put into the specific workflow step.

    While I believe we've had some requests for importing workflow steps in the past, I encourage you to submit your own Feature Request in our Customer Portal and ask our developers to consider this enhancement for future versions of OnTime. Here's the link:
